We accomplish our wide range of services by implementing a top-to-bottom review of financial, contractual and physical conditions of assets, devising both a short-term and long-term strategic plan, and consistently monitoring and adjusting the tactical plan.

Our property management services cover

Maintenance Management
  • Manage all maintenance issues, including the receipt, dispatch, inspection, and follow through to resolution of all tenant issues.
  • Manage all repair and bid processing of tenant maintenance issues.
  • Maintain a regularly scheduled maintenance program tailored to each property type on an appropriate and cost effective basis.
  • Manage a maintenance staff, including scheduling and supervising the day to day workload.
  • Coordinate after hours’ coverage of maintenance issues.
  • Manage a 24-hour emergency services program.
  • Manage all preventative maintenance programs, from HVAC to elevator maintenance.
  • Provide detailed management of vendor contracts and the RFP process.
Lease Administration
  • Manage the collection of all rent and expense reimbursements in accordance to leases.
  • Monitor all late payments and impose late fees.
  • Assist in the eviction process including the servicing of 3-day notices to pay or quit, and sheriff lock-out process.
  • Monitor and maintain current copies of all tenants’ required liability insurance policies to make sure they are up to date and intact.
  • Monitor all key provisions of each lease, including exclusives, termination rights, operating clauses, etc.
  • Engage and interact with client’s legal team.
  • Monitor and implement tenant retention programs that can facilitate a lease renewal program.
Accounting Services / Invoice Management
  • Maintain an invoice record system which includes the scanning, input and storing of all invoices.
  • Obtain Property Manager approval on all invoices with secondary approvals by management.
  • Prepare and maintain a detailed annual property budget to analyze potential inflows and outflows to maximize fiscal risk management.
  • Utilize operating budgets to forecast capital expenditures, lease renewals, new lease assumptions, tenant improvement assumptions and projected commissions.
  • Coordinate client approval of annual budget.
Operating Expense Reconciliations
  • Perform a year-end (or as needed) operating expense reconciliation for recovery and re-bill to tenants, subject to respective leases.
  • Review expenses and budget variances.
  • Invoice, collect, and/or credit operating expenses pursuant to the reconciliation process.
  • Submit to each tenant an operating expense estimate for new annual re-bill amounts.
Reporting
  • Perform property level accounting services and rent collection with a full staff of qualified personnel using institutional grade software to include:
  • Accounts Payable
  • Accounts Receivable
  • Billing Services
  • Customized reporting including an operating statement, balance sheet, bank reconciliation, aging report, and rent roll
